Introductory Period: New employees holding regular positions must complete an introductory period of twelve months.

Process Administrator
Overview
The Process Administrator manages and optimizes core administrative processes supporting operational efficiency, consistency and productivity across the organization. Utilizes a proactive approach and strong understanding of administrative workflows, systems, and best practices to enhance efficiency, reduce waste, and recommend process improvements to enhance the internal and external customer experience, and provide business value. Provides day to day administrative support for the business unit assigned providing a wide range of support such as resource coordination, scheduling, invoice processing, communication, compliance tracking & reporting, contract administration, etc. Utilizes excellent organizational and technology skills to improve processes and workflows. This role also serves as the primary coordinator for department records and may lead or support administrative projects and initiatives.
Responsibilities
-Business Process Support - Coordinate, standardize and monitor administrative workflows and internal processes to ensure efficiency and accuracy. Develop standard operating procedures to support consistent administrative practices. Support data collection and reporting using business tools and systems.
-Administrative Support - Perform a variety of administrative tasks including invoice processing, purchase order tracking, supply ordering, meeting coordination, proofreading, and communications. Support may also include participation in broader initiatives such as budget development, business planning, on-boarding employees, providing project management support, etc. depending on department needs.
-Records and Information Management - Act as the primary records and information coordinator. Maintain and manage organizational records, reports, and documentation in a variety of formats to ensure compliance and accessibility. Develop and maintain document libraries, naming conventions, and classification systems. Support digitization, workflow automation, and records retention compliance using systems such as MS365, SharePoint, FileNet, or equivalent.
-Process Improvement and Special Projects - Identify, recommend, and implement improvements to administrative processes, with a focus on automation and efficiency. Work with business or process analysts and other departments as a subject matter expert to enhance tools and systems. As a liaison for the business unit, resolve process issues and support change initiatives.
Project Planning & Scheduling Support - Assist in administrative project planning, scheduling and execution.
-Maintain regular and predictable attendance: Perform related duties and responsibilities as required. Comply with District policies. Complete all required training. Maintain a working knowledge and comply with District safety procedures and specific safety requirements of this position, and those in accordance with applicable provisions of the Revised Code of Washington (RCW) and Washington Administrative Code (WAC).

Qualifications
Education
-Associate Degree (A.S.) or equivalent from a two-year college or technical school focused on Business Administration, Management or a related field is required.
-Equivalent experience may substitute for required education requirements.
Experience
-3+ years of progressively responsible experience in administrative support, office management, or process coordination, is required.
-Experience supporting digital transitions or using Microsoft 365 tools (e.g., SharePoint, Excel, OneNote) is preferred.
Skills and Abilities
A fully skilled incumbent will have the following knowledge skills & abilities:
-Proficiency with Microsoft Office suite and enterprise tools (e.g., PeopleSoft, SharePoint, FileNet).
